II. INTRODUCTORY NOTES AND DEFINITIONS
By accessing and using the www.vrstudio.ro website, you fully and unconditionally accept these Terms and Conditions. The website is operated by GATEWAY VR STUDIO SRL, hereinafter referred to as “We”.

III. ON-SITE PARTICIPATION AT GATEWAY VR STUDIO
1. General Rules of Conduct
1.1. Participants agree to follow all instructions given by GATEWAY VR STUDIO staff.
1.2. Any use of force on equipment, furniture, or fixtures is strictly prohibited.
1.3. Aggressive, destructive, hostile, or dangerous behavior will result in the termination of the activity without refund and may lead to legal action.
1.4. During VR sessions, the following are strictly prohibited:
Running or uncontrolled movement in the game area;
Jumping, diving, climbing, or spinning;
Intentional or unintentional physical contact with other participants;
Aggressive or wide arm movements that may injure others or damage equipment;
Pulling, twisting, or mishandling VR headsets, controllers, or cables;
Ignoring staff instructions or system warnings;
Participating while under the influence of alcohol, drugs, or other psychoactive substances.
2. Use of VR Equipment, Consoles, Driving Simulators, Gaming PCs
2.1. All equipment is intended for recreational use under safe conditions.
2.2. Participants assume full responsibility for improper or unsafe use.
2.3. Individuals with conditions such as epilepsy, heart issues, or severe dizziness are advised not to participate.
2.4. Children under 14 must be accompanied and supervised by an adult.
2.5. Changing device settings without staff approval is prohibited.
3. Safety and Monitoring
3.1. All areas are under video surveillance for safety and session management.
3.2. Emergency stop buttons and safety systems are available where applicable.
3.3. Any medical or accident-related incidents must be reported to staff immediately.
4. Conduct and Prohibited Behavior
4.1. Access is forbidden to individuals under the influence of alcohol or psychoactive substances.
4.2. Smoking, carrying weapons, sharp or dangerous objects are strictly prohibited.
4.3. Bullying (verbal, physical, or psychological) will not be tolerated.
4.4. Recording or photographing VR sessions or on-screen content is not permitted without written consent from GATEWAY VR STUDIO.
5. Damage and Liability
5.1. Participants are liable for any damage caused to equipment or the location.
5.2. All damages will be assessed by our staff, and repair or replacement costs will be invoiced to the responsible party.
5.3. Significant damage may lead to the cancellation of other clients’ bookings, for which the responsible participant must compensate.
6. Booking and Arrival Policy
6.1. Participants must arrive at least 15 minutes before their scheduled time.
6.2. Late arrival may reduce session time without price adjustments.
6.3. GATEWAY VR STUDIO reserves the right to cancel or interrupt sessions if these conditions are not met.
7. Data Privacy and Video Surveillance
7.1. Participants consent to video monitoring for safety and operational reasons.
7.2. Personal data collected via booking forms is processed only for booking management in accordance with the EU GDPR (Regulation 2016/679).
8. Special Clauses
8.1. GATEWAY VR STUDIO reserves the right to refuse access to any person who violates these rules or fails to comply with staff instructions.
8.2. For minors, the legal guardian must sign this agreement and assume full responsibility for the child’s conduct.
8.3. Participation implies full acceptance of these Terms and Conditions, including any updates announced on-site.
9. Personal Responsibility and Risk Acknowledgment
By participating in VR activities at GATEWAY VR STUDIO, I acknowledge and accept the following:
The activity involves low physical exertion and high psychological intensity.
I understand the potential risks involved, such as:
Falling, slipping, loss of balance;
Bumping into walls, furniture, or other participants;
Scratches, cuts, bruises, electric shock, contact with hot surfaces;
Injuries caused by fatigue, negligence, unsafe behavior by others, or force majeure.
I take full personal responsibility for my physical and mental condition during participation.
I release GATEWAY VR STUDIO SRL, its staff, partners, and the property owner from any legal liability for injuries unless caused by gross negligence.
10. Additional Safety and Conduct Guidelines
Respect the designated play area and follow all safety instructions from staff.
Report any discomfort or unusual physical/mental sensations immediately.
Do not leave personal items (phones, bags, drinks, food, etc.) in the game area.
Do not physically interact with game props or decorations unless instructed.
Consumption of food or beverages near the equipment is strictly prohibited.
IV. VR KIT RENTAL TERMS (HOME USE)
1. Equipment Overview and Components
1.1. GATEWAY VR STUDIO offers the following components as part of a full VR rental kit:
1x Oculus Quest 2/3/3S headset
2x Wireless controllers with batteries
Charging cable and adapter
BOBO VR Headstrap kit (optional)
Chromecast device (optional)
User manual (sent via email)
1.2. The kit is delivered fully functional, tested, and sanitized.
1.3. Delivery and pickup are performed at the client’s address according to a pre-arranged schedule, or the kit may be returned in person to:

2. Payment and Invoicing
2.1. Full payment must be made in advance, by bank transfer, according to the rates listed in the GATEWAY VR STUDIO booking form.
2.2. In case of early return:
No refund is offered for already used days.
For rentals exceeding 2 days, a partial refund may be granted for unused days (subject to price tier and prior confirmation).
2.3. Late payment penalties: 1% per day of the overdue invoice amount if not paid within 10 calendar days from the invoice date.
3. Delivery, Use, and Responsibilities
3.1. Delivery takes place between 09:00 and 21:00, at the hour agreed with the client.
3.2. The client must prepare a minimum 2.5 x 2.5 meter space for safe VR use.
3.3. Installation is simple. Instructions are sent by email, and technical support is available by phone from 09:00 to 21:00.
3.4. The kit will be collected with a signed handover protocol. Any damage or malfunction must be reported before the pickup.
4. Compensation for Damages
4.1. Any malfunction or damage, other than normal wear and tear, identified upon return will be billed to the client.

4.3. In the event of loss or theft of the equipment, the client agrees to pay the full replacement cost as listed above.
5. Prohibited Use and Liability
5.1. The following are strictly prohibited:
Subleasing or lending the rented equipment
Relocating the equipment from the declared address
Using the kit without adult supervision
5.2. GATEWAY VR STUDIO is not liable for:
Internet connectivity issues
Improper use by the client
Ignoring the usage instructions provided
5.3. Consumption of food or beverages near the equipment is strictly forbidden.
5.4. If the designated location is found unsuitable for safe use, GATEWAY VR STUDIO reserves the right to refuse delivery or installation.
V. ONLINE ORDERING AND PAYMENT TERMS
V.1. Placing Orders
Any order placed via www.vrstudio.ro constitutes a firm request by the Buyer to purchase services and/or products sold by GATEWAY VR STUDIO SRL.
Orders may be submitted:
by manually entering data in the website booking form
By placing an order, the Buyer confirms that:
They have the legal capacity to enter into a binding contract
They are at least 18 years old
They have provided accurate, complete, and truthful information
Finalizing an order implies:
Full acceptance of these General Terms and Conditions
Consent to being contacted by the Seller through electronic means (email/phone)
The order will be confirmed via email. Order confirmation does not constitute final acceptance but merely acknowledgment of receipt.
V.2. Payment Methods
Accepted payment methods:
Online payment via bank card and approved processors
Bank transfer (based on proforma invoice)
Cash upon delivery (only if explicitly accepted by the Seller)
All prices displayed on the site are in RON (Romanian Lei) and include VAT.
For online payments:
GATEWAY VR STUDIO is not liable for any additional fees charged by the card-issuing bank (e.g., currency conversion fees)
Payment processing is handled by a third-party platform. The Seller does not store or access card details.
In the event of payment delays for delivered products or completed services, penalties of 1% per day of the overdue amount will apply, starting 10 days after the invoice due date.
V.3. Invoicing
Upon request, a tax invoice will be issued for each order and sent via email in PDF format.
Billing details must be correctly filled in at the time of placing the order.
V.4. Cancellation and Refund Policy
VR sessions, events, or equipment rentals can be cancelled up to 24 hours before the scheduled time by emailing [email protected].
Cancellations made less than 24 hours before the scheduled time are not eligible for a refund.
If applicable, refunds will be processed within 7 business days via the original payment method.
Physical products (e.g., equipment) may only be returned under the conditions stated in Section VI – Returns and Warranty.
V.5. Availability and Delivery
Orders will be fulfilled depending on product/service availability.
Delivery is handled by:
Third-party couriers (e.g., Fan Courier)
GATEWAY VR STUDIO staff (for VR kit rentals)
Delivery times are estimates and will be confirmed via email or phone. Delays due to external factors (traffic, weather, unforeseen events) will be communicated in advance.
V.6. Communication with the Client
All order-related communication will be conducted electronically (email, SMS, phone). The client agrees to receive notifications, invoices, and updates through these means.
Any request to modify or cancel an order must be submitted in writing and confirmed by GATEWAY VR STUDIO.
VI. CONSENT STATEMENT
By signing this document, I declare that I have read and fully accept the Terms and Conditions for participating in and using the services offered by GATEWAY VR STUDIO, both at the physical location and for VR kit rentals.

Use of the Site implies unconditional acceptance of the terms and conditions set forth below. The Site is administered exclusively by GATEWAY VR STUDIO SRL. Your continued use of the Site signifies your agreement to the terms and conditions. GATEWAY VR STUDIO SRL reserves the right to change, correct, modify, add and/or withdraw in part or in whole the terms, conditions, or prices of products. User confirms that he/she has read and accepted these terms and conditions in full.
The entire content of this website (images, text, graphics, symbols, trademarks, logos, web graphics, scripts, programs and databases) is the exclusive property of GATEWAY VR STUDIO SRL and is protected by copyright law. The use of any of the elements listed above without obtaining prior consent from the right holders is punishable under the laws in force.

Buyer- Any natural or legal person over 18 years of age or any legal person or any legal entity that makes an Account on the Site and places an Order
Order – an electronic document that intervenes as a form of communication between the Seller and the Buyer by which the Buyer transmits to the Seller, through the Site, his intention to purchase Goods and Services from the Site
Website – Online shop hosted at www.vrstudio.ro
User – any natural person over 18 years of age or legal entity registered on the Site, who, by completing the Account creation process, has agreed to the site-specific terms in the General Terms and Conditions section.
Goods / Customized Goods – any product or service, listed on the Website, including the Goods mentioned in the Order, to be supplied by the Seller to the Buyer as a result of the Contract.
Transaction – the collection or reimbursement of an amount resulting from the sale of a Good and/or Service by Playathome to the Buyer, using the services of the Seller’s approved card processor, regardless of the delivery method.
My Cart – section that allows the Buyer/User to add Goods or Services they wish to purchase at the time of adding or at a later time.
Contract – is the distance contract concluded between the Seller and the Buyer without the simultaneous physical presence of the Seller and the Buyer.
- Contract conclusion
- In the case of placing an order, the contract shall be deemed to be concluded at a distance between the Seller and the Buyer

- By finalizing the Order, the Buyer agrees that all data provided by the Buyer, necessary for the purchase process, are correct, complete and true at the time of placing the Order.
- By finalizing the Order, the Buyer consents that the Seller may contact him, by any means available/agreed by the Seller, in any situation where it is necessary to contact the Buyer.

- All rates for Goods presented on the Website are expressed in lei (RON) and include VAT.
- Payment can be made by courier or by money order.
- In the case of online payments the Seller is/cannot be held responsible for any additional costs incurred by the Buyer, including but not limited to currency conversion fees applied by the bank issuing the Buyer’s card, if the currency of issue of the card differs from RON. The Buyer bears sole responsibility for this action.

- Electronic communication
- Communication with the Seller can be realized through direct interaction with the Seller or through the addresses mentioned in the “contact” section of the Website. The Seller has the freedom to handle the information received without having to justify it.The communication between the Buyer and the Seller will be carried out through electronic means of communication (email, telephone).
- Delivery of Goods
- Once the order is finalized, it will be delivered via the courier services offered:

- Curier Gateway VR Studio.
- The Seller undertakes to deliver the Goods by courier to the Buyer.
- The Seller shall ensure proper packaging of the Goods and shall ensure the transmission of accompanying documents.
- The Seller will deliver the Goods and Services only within Romania.
- Goods Guarantee
- We guarantee the product against defects in materials and workmanship under normal consumer use.
- We guarantee your product against defects in materials and workmanship under normal consumer use from delivery and for a period of 24 months from the date of delivery.
- If the product proves to be defective within the 24-month warranty period and you wish to make use of this warranty, we will ask you to follow the product return instructions we will provide to you and we will take one of the following actions: (i) replace the product with a product identical (within the limit of available stock) or equivalent to the product you purchased; (ii) repair the product; or (iii) refund the full purchase price of the product. Due to technological advances and product availability, the replacement product may differ slightly and may have a lower selling price than the original product you purchased.
- Replaced and repaired products or parts supplied under warranty will be shipped only to addresses in Romania.
- The warranty will not apply to any defect in the Product resulting from normal wear and tear, accident, misuse, negligence by you or any third party, fire or other external causes, alterations or repairs, commercial use or use of the Product in an improper manner.
- Return/replacement procedure
- In the case of a warranty replacement, the provisions of Section VIII shall apply.
- Products in the VR Glasses category cannot be returned if they have been used due to the epidemiologic risk resulting from contact of the product with the face and eyes.
- In accordance with on consumer rights in contracts concluded with professionals, the right of return cannot be exercised for orders which concern:
- the supply of goods that have been unsealed after delivery, which can no longer be returned for reasons of hygiene or health protection;
- the supply of goods made to consumer specifications or obviously customized.
- If you have been sent a product other than what you ordered, you can return it. GATEWAY VR STUDIO will bear the shipping costs and we will send you the ordered product as soon as we receive the parcel. If the product in question is no longer in stock, you will be refunded the full amount or you will have the possibility to select another product from our website within the limit of the amount paid to Playathome.
- If you have ordered another product by mistake, you can return the product for exchange, provided the product is sealed and undamaged in any way. The transportation charges will be borne by you.
- To be able to return the product you must send us an email to: The email must contain the order number and the reason for the return in order to determine whether the return payment will be borne by us or by you. As soon as possible after processing your return request you will be contacted for details.
- Intellectual property
- The content, including but not limited to logos, stylized representations, commercial symbols, static images, dynamic images, text and/or multimedia content presented on the Site, are the exclusive property of GATEWAY VR STUDIO SRL.

- Force majeure
- Force majeure is an unforeseeable event beyond the control of the parties and which cannot be avoided.

- Force majeure must be notified within 5 working days of its occurrence.
- Applicable jurisdiction
- The contract concluded as mentioned above is subject to Romanian law.
- In the event of a dispute that cannot be settled amicably, the courts of law shall have jurisdiction, subject to the legal provisions on jurisdiction.
Terms and Conditions – RENTAL
I. OBJECTIVE
- The rented equipment, hereinafter referred to as “” will be delivered to the client sanitized, according to the order confirmed by email by GATEWAY VR STUDIO SRL (GATEWAY VR STUDIO), consisting of:
- 1 x Oculus Quest 2/3/3s VR Glasses
- 1 x 1 meter USB Type C Charging Cable
- 1 x USB Type C Quick Charge Adapter
- 2 x Wireless Touch Joysticks/Controllers
- 2 x AA batteries for controllers
- 1 x Spectacles space holder (pre-installed in VR glasses)
- 1 x Kit Bobo VR M2/M3 Headstrap (optional)
- 1x Google Chrome Cast kit (optional)
- The VR kit will be delivered and picked up according to the customer’s pre-order made either by phone or in writing by email, between the hours stated in the reply message.
- The VR kit will be delivered in good working order to the customer, GATEWAY VR STUDIO SRL (GATEWAY VR STUDIO) tests all units for optimal functioning before delivery.
- For optimal use of the equipment, the customer will receive telephone support from GATEWAY VR STUDIO representatives between 09:00 – 21:00 during the rental.
II. THE PRICE
2.1 The payment for the rented equipment will be made in advance to the account of GATEWAY VR STUDIO SRL, according to the client’s order for the entire period mentioned in the order.
2.2 The cost of the first day’s use of each VR kit is variable * (being subject to offers and periods) and can be identified by visiting www.vrstudio.ro/prices.
2.4 Returning the equipment before the expiry of the period specified in the order does not entitle the customer to a refund of the price paid in advance.
2.5 As an exception to the provisions of art.2.4, in the event that the VR kit has been rented for more than two days and the client wishes to return the equipment before the end of the term, the client will be refunded the money paid for the days following the day on which the equipment is collected from the steps listed above, using the last eligible step. GATEWAY VR STUDIO undertakes to collect the apparatus on the day following notification of the customer’s wish to return the apparatus before the deadline has expired, between 09.00-21.00, as it will respond by email and notify the customer.
III. DELIVERY AND INSTALLATION CONDITIONS
3.1 The VR Kit will be delivered to the address communicated by the customer, at the time agreed upon by GATEWAY VR STUDIO team.
3.2 In the event of an unforeseen situation (technical failure of the equipment or means of transportation, medical problems of the GATEWAY VR STUDIO teams, etc.), the client will be notified in due time, being informed of a new arrival time by phone and by email.
3.3 The Client shall provide a suitable space for the installation and deployment of the equipment, ready for the agreed time of delivery and installation, i.e. a 2.5×2.5m deployment space without furniture.
3.4. The VR Kit does not require complex installation operations, the customer benefiting from a set of instructions delivered by email and technical support from the GATEWAY VR STUDIO team according to art.1.4.
3.5 The collection of the equipment is partially done by the client after the kits have been used, and then, at the time agreed between the GATEWAY VR STUDIO team and the client, the client’s representatives will come to finalize, if necessary, the operations of uninstallation of the equipment and its collection.
3.6 The collection of the rented VR kit will take place on the basis of a signed collection report.
3.7 Any details of malfunctioning or faults with the VR kit equipment must be notified by the customer by email prior to collection and will be noted on the collection report. The customer must not attempt to repair the equipment without the permission of the GATEWAY VR STUDIO team. In such cases, the GATEWAY VR STUDIO team will endeavor to have the equipment in question replaced.
3.8 The equipment will be visually inspected by the GATEWAY VR STUDIO team upon pick-up, members of which have the right to ask the client to perform a test to determine the proper functioning of the kit.
3.9 In any case, the customer will be notified within 24 hours that the equipment has been picked up in the same condition as when it was delivered, after full checks by the GATEWAY VR STUDIO team.
3.10 Any damage found, except for normal traces of wear and use, will be reported and recorded at the time of their identification, within a maximum of 24 hours of pick-up, and will be repaired by the GATEWAY VR STUDIO team.
3.11 The standard costs foreseen for technical malfunctions, which make the kits unsuitable for operation and which require their removal from use for a period of more than one day, in addition to the lost opportunity cost charged by GATEWAY VR STUDIO SRL will be as follows:

- Cables/Accessories/Adapters – 150 LEI/piece
- Google Chrome Cast – 350 LEI
All listed costs include VAT.
3.12 In the event of the need to replace the equipment, the cost of such replacement shall be borne by the Customer after an invoice has been issued.
3.13 All costs related to the repair or replacement of the equipment collected from the client in an unserviceable condition, according to art.3.7-.3.12, shall be borne by the client on the basis of an invoice issued by GATEWAY VR STUDIO SRL.
3.14 In the event that the equipment is lost or stolen during the period of hire, GATEWAY VR STUDIO will be fully indemnified by the Client for the equipment in question at the prices shown in paragraph 3.11
3.15 All aforementioned costs or prices are subject to penalties and interest, and the customer is obliged to pay late payment penalties in the amount of 1% of the amount of the invoice issued under the above provisions, if he refuses to make payment within 10 days of its issuance and communication by email.
IV. FINAL PROVISIONS
4.1 GATEWAY VR STUDIO accepts no liability whatsoever for any accident or damage that may occur while the equipment is rented. The equipment must be supervised during use by a responsible adult over the age of 18 (preferably the client).
4.2 Keeping, storing and consuming food or liquids near the GATEWAY VR STUDIO equipment is prohibited.
4.3 If GATEWAY VR STUDIO observes that the venue and the conditions do not meet all safety requirements for the client and the equipment, it reserves the right to refuse the location or to continue the rental.
4.4 All persons using the GATEWAY VR STUDIO equipment do so at their own risk. The person or organization renting the equipment will be responsible for any damage or injury resulting from their own use or misuse of the equipment.
4.5 The Customer undertakes to use the equipment by following the safety instructions provided in the form of a guide provided by the GATEWAY VR STUDIO team by email.
4.6 The GATEWAY VR STUDIO team does not take responsibility for improper or faulty functioning of the client’s internet connection that causes the impossibility to use the rented equipment online. The customer must ensure before placing the order that he/she has an internet connection allowing the use of the rented VR kit.
4.7 The Client is not entitled to sublet the Equipment received from GATEWAY VR STUDIO or to move it from the location of its rental.
